I can answer prepress related questions for Adobe Illustrator all versions. I am qualified from having to prepare properly separated and trapped artwork files entirely on the desktop in Adobe Illustrator and in Photoshop when Photoshop files are placed in Illustrator. I have made and fixed nearly every mistake imaginable.

Mel, I would try Save As and choose PDF Format and select one of the several presets to adjust preview quality and file size. The installed presets may include [Highest Quality Print],[Press Quality]

Melanie, Usually you can create a rectangle at the size and orientation of the piece that will be printed and while the rectangle is selected go to the Object menu and scroll to Crop Area and select Make
